What’s New in Build 1.5

Date: June 2010

The team are pleased to announce the production release of VBM version 1.5. 
Version 1.5 incorporates a number of new and enhanced features as well as updates to a range of general usage items. 
This release includes roadmap development, updates, resolutions and streamlining usage based on end-user feedback.

New Features

  1. For SQL installations, different Cell servers can be selected from a drop down list on the VBM Login screen
  2. Outlook objects including Appointments, Meeting Requests and Read Receipts can be dragged and dropped into VBM
  3. The current Custom Sort criteria is now displayed alongside the Custom Sort checkbox
  4. Tag column has been added to Message Board
  5. Size and Copies can be auto-pasted and auto-completed into Transmittal grids using the enter or up/down arrow keys
  6. Excel report is now available for External Groups from the Accounts Manager main menu
  7. Excel reports are now available for All Users for Biz, RFS, Documents and Packages permissions
  8. Customised logo for XL reports MyLogo.xxx for all Users can be saved in the license file folder including function to add/remove
  9. The bizadmin User can save a Corporate background picture for all Users in license file folder
  10. Main Report menu now includes new sub-menu Document Delivery for reports
    • By Tagged Versions (previously Document Delivery report)
    • By Selected Recipients (previously Recipient Delivery report)
    • All Deliveries Matrix (new report)
  11. Send To >> Recipients (As Delivery) now provides an option to create an automatic notification email to recipient/s including the path to the delivered files (and transmittal if selected. The notification email is automatically retrieved from the sender’s Outlook Sent Items folder
  12. Document Lists and drop down lists can now be scrolled using the mousewheel

 

Enhancements

  1. New Certificate Attribute ‘JobClient’ is now available when constructing Certificates
  2. The User is now prompted with Recipients list when creating a new email document
  3. User is now warned on import spreadsheet if a document is being created with a future date
  4. Variant Definitions have been added to Excel reports
  5. The bizadmin User can overwrite documents at APPROVED or CERT FINAL work status
  6. Success prompt is now displayed when User account details sent by email
  7. Replicate File Index report now prompts the User for the folder to save the replication output
  8. Overwrite and Save As document now shows file copy progress
  9. Mouse handle over Search Job list icon has been changed to Hand
  10. A hyperlink to a Microsoft Windows folder can now be established when creating a document
  11. Size column is blank by default when creating a transmittal
  12. Permissions for the Tools menu vs Doc Controller have been updated so Doc Controllers only have access to Upload documents facility
  13. Removed Users cannot be deleted but can now be re-instated if required. Removing a User frees up the User’s license
  14. Install setup can now be deployed to a UNC server path
  15. Method of drag-n-drop emails and attachments from Outlook has been refined to improve speed
  16. Document properties now show the Document’s associated Job No
  17. User prompt added for User to confirm when all Jobs made active/inactive on the Search Jobs screen
  18. Can't delete a Variant or Version which is still included in a Package
  19. Can't send a Document to the Recycle Bin which is still included in a Package
  20. SuperUsers no longer have over-riding permissions to create Documents, Variants or Versions
  21. Variant Definitions item column in grid on Edit >> Profile is now greyed out
  22. Delivered On date and Delivered By user can now be changed in Send To facility
  23. Send To >> Recipients (As Delivery) now prompts for the path to store delivered files (and transmittal if selected) instead of defaulting to the user’s desktop
  24. Send To >> Mail Recipients option to “Send Documents via formal Email communication” is no longer available but now prompts the User to decide by default
  25. Transmittal is now relational linked as a child to the outgoing email when using Send To facility
  26. The PDFCreator window is now displayed when using Save As, or Send To >> Recipients (as Delivery) to confirm the conversion progress
  27. Access to send documents to the Recycle Bin is now available to all Users. Only SuperUsers are still able to restore Documents from the Recycle Bin.
  28. Contacts Manager prompts the user to resolve a Contact which has the same username or email address but belongs to multiple EGroups

 

Usage Updates and Resolutions

  1. Upload sheet now returns the User to the currently selected Job and Category
  2. Default Packages permissions are now saved
  3. Link Certificate screen now filters list to the selected job only
  4. Recycled documents are not included in the Document List when FILTER = Collection or Group, and the FILTER button is right clicked
  5. Changing the EGroup name now prompts the User to confirm updating the Job Client, Document Owner and Document delivery records
  6. Upload Import Sheet with FREEFORM version set to N/A now imports correctly
  7. Removed EGroups are no longer prompted as Clients when creating new Jobs
  8. The FILTER now returns Variants and Versions correctly when a keyword is only found in the Certificate or Subject but Certificate + Subject + Variant + Version options are checked
  9. Variant and Version columns are now in view in Message Board on the Documents tab
  10. Address 2 can now be edited from Address Book grid on the Mail Documents screen
  11. Next button now enabled when importing a new Version and the FREEFORM Version is entered after entering the Version Note
  12. Emails with subject ending .doc .xls etc can now be saved
  13. Job List drop down is now visible if all Jobs are made inactive
  14. Send a Document to ALL JOBS now works correctly
  15. Document properties now shown for Documents which are not associated with a Job
  16. Package Documents list is now refreshed after WORK STATUS has been updated when setting a Baseline
  17. More stability has been provided around creating and opening files
  18. Email Documents are no longer de-selected in Document Lists after being double clicked
  19. Now compatible with PDFCreator version 0.9.9 which in turn resolved problem where PDFCreator doesn’t close down after PDF creation. User’s must now upgrade to PDF Creator 0.9.9
  20. Document List Filter now includes a filter checkbox for Work Status = OBSOLETE
  21. Transmittal file is now created correctly when a Job Number contains illegal Windows characters
  22. Error reported when checking if a Document is included in a Package when deleting a Version
  23. The OBSOLETE Work Status is now disabled while a document is LOCKED
  24. Can now create new Variants of OBSOLETE Documents but not new Versions
  25. Template Variants with Work Status set to OBSOLETE no longer appear in Template lists when creating new Documents or Variants. If there is no Template Variant with Work Status set to APPROVED or CERT FINAL then the User is prompted that there is no approved Template
  26. External Contacts can be associated with different External Groups as separate Contacts with the same name and/or email details. A Contact which is duplicate but associated with different External Groups is now resolved for the User to select which External Group to use
